How to Manage Actionables and Initiatives
Prerequisites
Access to the Risk Management section
At least one compliance gap or improvement area identified
Accessing Actionables
Navigation: Sidebar → Risk Management → Actionables
Click Risk Management in the sidebar.
Click Actionables to open the actionables page.
The page has two tabs: Actionables (initiatives) and Tasks.
Managing Initiatives (Actionables Tab)
Creating an Initiative
On the Actionables tab, click the Add Initiative button.
Fill in the initiative details:
Initiative Name — descriptive name for the improvement effort
Description — scope and objectives
Priority — Low, Medium, High, or Critical
Owner — user responsible for the initiative
Source — where this initiative originated (e.g., audit finding, risk assessment)
Due Date — target completion date
Click Submit to create the initiative.
Viewing and Filtering Initiatives
Use the Search bar to find initiatives by name
Filter by Owner, Priority, Source, or Status
Initiatives can be grouped by source, status, or priority for better organization
Bulk Updates
Select multiple initiatives using the checkboxes.
Apply bulk status changes or reassignments.
> Tip: Use bulk updates when closing out multiple related initiatives after an audit or compliance review.
Managing Tasks (Tasks Tab)
Creating Tasks
Switch to the Tasks tab.
Click Add Task to create a new task.
Link the task to a parent initiative.
Set the task priority, assignee, and due date.
Tracking Task Status
Tasks move through standard statuses: Pending, In Progress, Completed.
Stale Task Detection
The system automatically flags tasks that have been inactive for 20+ days as stale. This helps identify:
Tasks that are blocked and need attention
Assignments that may need to be reassigned
Work that has fallen through the cracks
> Note: Review stale tasks regularly during weekly compliance check-ins. Stale tasks indicate potential compliance delays.
Document Attachments and Audit Log
Attaching Documents
Open an initiative's detail view.
Upload supporting documents (plans, evidence, correspondence).
Audit Log
Each initiative maintains a complete audit log showing:
Who created/modified the initiative
Status changes with timestamps
All comments and discussions
Comments
Add comments on initiatives to collaborate with team members. Comments are timestamped and attributed for audit trail purposes.
Troubleshooting
| Issue | Solution |
|---|
| Cannot create an initiative | Verify your role has Actionables Create permission. |
| Tasks not showing under an initiative | Ensure tasks are linked to the correct parent initiative when created. |
| Stale task indicator not appearing | Tasks must be inactive for 20+ days. Check the task's last modified date. |
| Cannot bulk update | Select at least one initiative using the checkboxes before applying bulk actions. |
