Vendor Assessment Portal Guide (For Vendors)

Prerequisites

  • An assessment invitation email from the requesting organization
  • Access to the email address registered as SPOC

  • Logging In to the Assessment Portal

    Step 1: Open the Invitation Link

  • Check your email for the assessment invitation.
  • Click the assessment link in the email.
  • You will be redirected to the Vendor Assessment Portal login page.
  • Step 2: Authenticate with OTP

  • Enter your registered email address.
  • Click Send OTP.
  • Check your email for the one-time password.
  • Enter the OTP and click Verify to log in.
  • > Note: The OTP is valid for a limited time. If it expires, request a new one.


    Filling Out the Assessment

    Step 1: View the Questionnaire

  • After login, you will see the assessment questionnaire organized by categories.
  • Each category contains questions that need your response.
  • The progress indicator shows your completion percentage.
  • Step 2: Answer Questions

  • Click on a category to expand it.
  • For each question:
  • Enter your response in the provided text area or select from options
  • Upload supporting documents if requested
  • Add comments for additional context
  • Your responses are saved automatically as you type.
  • Step 3: Upload Supporting Documents

  • For questions that require evidence, click the Upload button.
  • Select the file and upload.
  • Supported file types include PDF, DOCX, XLSX, and images.

  • Inviting Collaborators

    If multiple people from your organization need to contribute:

  • Click Add Collaborator on the assessment page.
  • Enter the collaborator's email address.
  • They will receive an invitation to access this specific assessment.
  • Collaborators can answer questions in their area of expertise.
  • > Tip: Invite collaborators from different departments (IT, Security, Legal) to ensure comprehensive and accurate responses.


    Responding to Risk Assessments

    Some assessments include risk-related questions:

  • Navigate to the Risk section if available.
  • View identified risks and their details.
  • Provide evidence and comments for each risk item.
  • Upload supporting documentation as needed.

  • Submitting the Assessment

  • After answering all questions, review your responses.
  • Check the Assessment Metrics to ensure completion.
  • Click Submit to finalize your assessment.
  • > Warning: Once submitted, you may not be able to modify your responses. Ensure all answers are complete and accurate before submitting.


    Troubleshooting

    IssueSolution
    Did not receive the invitation emailCheck your spam/junk folder. Contact the requesting organization's vendor manager.
    OTP not arrivingCheck spam. Request a new OTP. Ensure the email address matches the one registered by the requesting organization.
    Cannot upload filesCheck file size limits. Ensure the file format is supported (PDF, DOCX, XLSX, images).
    Assessment link expiredContact the requesting organization to resend the assessment invitation.
    Collaborator cannot accessEnsure the collaborator's email was entered correctly. They will receive their own OTP-based login.
