How to Use the ZIN Knowledge Base and Checklist

    Here is the complete story of how a vendor questionnaire gets answered using ZIN:

    Scenario

    Your organization receives a 200-question security questionnaire from a client. Instead of spending days answering manually, here is how you handle it with ZIN:


    Phase 1: Build Your Knowledge Base

    Navigation: Sidebar → ZIN Advisor → Knowledge Base Tab

    Your Knowledge Base is the foundation. It contains Q&A pairs that the AI uses as reference material when auto-filling questionnaires. The richer your Knowledge Base, the more accurate and complete the auto-fill results.

    #### Option A: Add Entries Manually (One at a Time)

  • Click the Knowledge Base tab in ZIN Advisor.
  • Click the Add button.
  • In the modal, fill in:
  • Question — the question as it would typically appear on a questionnaire (e.g., "Does your organization have a formal information security policy?")
  • Answer — your organization's standard response (e.g., "Yes. Our Information Security Policy is reviewed annually, approved by the CISO, and distributed to all employees. The policy covers data classification, access control, incident response, and acceptable use.")
  • Tags — categorization tags for easy searching (e.g., "security policy", "governance", "ISO 27001")
  • Click Submit to save the entry.
  • > Tip: Start by adding answers to the most commonly asked questions across vendor questionnaires — access control, encryption, incident response, business continuity, and data protection. These appear in nearly every security assessment.

    #### Option B: Bulk Import from File (Recommended for Initial Setup)

  • Click the Import button on the Knowledge Base page.
  • In the import modal:
  • Click Download Template to get the Excel template (VendorPulse_KB_Template.xlsx).
  • Fill in the template with your Q&A pairs (one row per question-answer pair).
  • Upload the completed file (supported formats: .xlsx, .csv, .docx, .pdf).
  • Click Submit to import all entries at once.
  • > Tip: If you have previous questionnaire responses in Excel or CSV format, you can reformat them to match the template and bulk import hundreds of Q&A pairs in seconds.

    #### Managing Your Knowledge Base

    The Knowledge Base page displays all entries in a searchable table:

  • Edit any entry by clicking the three-dot menu → Edit
  • Delete entries that are outdated or incorrect
  • Search by keyword to find specific Q&A pairs
  • > Note: The Knowledge Base also shows a banner promoting the Chrome Extension. The Chrome Extension can add Q&A pairs to your Knowledge Base automatically as you answer questionnaires on external platforms — building your KB organically over time.


    Phase 2: Upload a Questionnaire for AI Scanning (Checklist Tab)

    Navigation: Sidebar → ZIN Advisor → Checklist Tab

    Now that your Knowledge Base has reference material, you can upload questionnaires for the AI to auto-fill.

  • Click the Checklist tab in ZIN Advisor.
  • Click the Upload button.
  • In the upload modal:
  • Select or drag-and-drop your questionnaire file (PDF format).
  • The file is uploaded and queued for AI scanning.
  • Click Submit.
  • The uploaded questionnaire appears in the Checklist table with a Scan Status:

    Phase 3: Review AI-Generated Answers

  • Once a questionnaire scan shows Completed, click on it to open the Questionnaire Review page.
  • The review page displays:
  • Each question extracted from the questionnaire
  • The AI-suggested answer matched from your Knowledge Base
  • A confidence score indicating how well the answer matches
  • The source Q&A pair from the Knowledge Base that was used
  • For each question:
  • Accept answers with high confidence (the AI matched well)
  • Edit answers that need refinement
  • Manually answer questions the AI could not match (low confidence or no match)
  • Use the Activity Panel to track review progress and see scan metrics.
  • > Tip: After reviewing, any manually written answers can be added back to the Knowledge Base for future use. This creates a virtuous cycle — each questionnaire you answer makes the next one faster.


    Phase 4: Use the Chrome Extension for External Questionnaires

    For questionnaires hosted on external platforms (Google Forms, Microsoft Forms, Typeform, JotForm):
  • Install the Vendor Pulse Chrome Extension from the Chrome Web Store.
  • Navigate to the external questionnaire in your browser.
  • Click the extension icon → Auto-Fill.
  • The extension reads each question, queries your Knowledge Base, and fills in answers automatically.
  • Review the auto-filled answers on the form.
  • Submit the questionnaire.
  • The Chrome Extension also works in reverse — as you manually answer questions on external forms, it can capture those Q&A pairs and add them to your Knowledge Base.

    Over time, your Knowledge Base becomes comprehensive enough that most questionnaires can be answered with minimal manual effort.


    Troubleshooting
