How to Manage Re-Assessment Schedules and Remove an Assessment

How to Manage Re-Assessment Schedules and Remove an Assessment

Overview

Vendor Pulse can issue assessments to a vendor on a repeating cycle. Each assessment you create carries its own schedule, and when a cycle comes due the platform creates and sends the next assessment automatically.

Sometimes you need to remove an assessment — for example one created by mistake, or one issued under a cycle you no longer want to run. You can remove it yourself; you do not need to raise a ticket.

This guide covers how scheduling works, how to read the three assessment states, what you can change afterwards, and how to safely remove an assessment.

Prerequisites

  • A vendor with at least one assessment
  • vendor:view and vendor:assessment:view to open the Assessment Process tab
  • vendor:assessment:add to create an assessment or change its due date
  • vendor:assessment:delete to remove an assessment — ask your administrator if you do not have it

Understanding the Three Assessment States

Navigation: Sidebar → Vendors → [select a vendor] → Assessment Process tab

The tab has a status dropdown at the top with three options. Every assessment sits in exactly one of them:

StateWhat it means
Upcoming assessmentScheduled for a future date. Not yet sent, and the vendor cannot see it. This is where your next re-assessment waits
Ongoing assessmentAlready sent to the vendor and waiting on them. They may have answered none, some or all of the questions
Completed assessmentThe vendor has submitted. It stays here while you review; sending your review moves it back to Ongoing

A vendor accumulates one row per cycle, so the same vendor shows several rows over time. The dates are what tell the rows apart — check them before acting on any row.

What each list shows

FilterColumns
Upcoming assessmentAssessment Name, Scheduled Date, Due Date, Sent By
Ongoing assessmentAssessment Name, Completion Progress, Pending Questions, Scheduled Date, Days Left, Sent By, Review Progress, Compliance Percentage
Completed assessmentAssessment Name, Review Progress, Compliance Percentage, Due Date, Sent By

Under Ongoing assessment, once the due date has passed the Days Left column turns red and reads Overdue with the number of days.

How Re-Assessment Scheduling Works

Scheduling is set when the assessment is created, in the Create Assessment form (see How to Send and Track Questionnaires):

FieldWhat it does
Assessment Scheduled DateWhen the assessment should be sent. Blank means now. It cannot be in the past
Assessment Scheduling IntervalHow often the assessment repeats. Never repeat means a one-off; the other choices repeat every 30, 90, 180 or 365 days
Assessment Due DateThe deadline for a one-off assessment. Shown only when the interval is Never repeat. It cannot be in the past or before the scheduled date
Submission Deadline Duration (In Days)How long the vendor has to respond in each repeating cycle. Shown only when a repeating interval is chosen

How the due date is worked out

SituationDue date
One-off, and you chose an Assessment Due DateThe end of the day you chose
One-off, and you left Assessment Due Date blankThe end of the day the assessment is sent
RepeatingThe scheduled date plus the Submission Deadline Duration in days

Always set a due date on a one-off assessment. If you leave it blank, the assessment is due the same day it is sent, and the vendor loses portal access when that day ends. You can correct it afterwards with Edit.

What happens each cycle

  1. On the scheduled date, Vendor Pulse sends the assessment to the vendor and it becomes Ongoing. Scheduled assessments are released once a day, so it goes out during that day rather than at a precise time.
  2. At the same moment, if a repeating interval is set, the next assessment in the series is created under Upcoming assessment, scheduled one interval after the current one's scheduled date.
  3. The next assessment takes its list of questions from the template as it stands at that moment, so questions you have added to a custom template since the last cycle are picked up.

You do not set the assessment up again each cycle.

What you can change afterwards

On an existing assessment, the row's Edit action lets you change the Assessment Due Date and nothing else. The name and template are shown marked (Not editable), and the scheduled date, scheduling interval and submission deadline are fixed when the assessment is created.

Edit is available under Ongoing assessment and Completed assessment. It is not offered under Upcoming assessment.

What you cannot do yourself

  • Change the interval of a repeating series.
  • Stop a repeating series. Deleting one assessment removes that occurrence only — the series carries on (see below).

For either of these, contact support@zeron.one with the vendor name, the assessment name and what you want the schedule to be.

Removing an Assessment

Navigation: Sidebar → Vendors → [select a vendor] → Assessment Process tab

  1. Click Vendors in the sidebar.
  2. Click the vendor you want to work with.
  3. Open the Assessment Process tab.
  4. Set the status dropdown to the state the assessment is in — Upcoming assessment, Ongoing assessment or Completed assessment.
  5. Check the assessment name and the dates on the row to confirm you have the right one.
  6. Click the ⋮ menu at the end of the row and choose Delete.
  7. Confirm in the delete confirmation dialog.

The assessment disappears from the list immediately.

Who can delete

Deleting needs vendor:assessment:delete. The Delete option is shown in the menu to every user who can see the list, but the request is refused if you do not hold the permission.

What is removed

  • The assessment itself, in whichever state it was.
  • Every answer the vendor gave on it, with your ratings.
  • The comment threads on those answers.
  • Its contribution to the vendor's assessment progress and risk score figures.

There is no undo and no recycle bin in the product. If you delete the wrong assessment, see Troubleshooting below.

What happens to the schedule

What you deletedEffect on the schedule
A one-off assessment (Never repeat)Nothing further is scheduled. If it was still Upcoming, it is never sent
An Ongoing or Completed assessment in a repeating seriesThe next assessment already listed under Upcoming assessment is untouched and will be sent on its own date
The Upcoming assessment of a repeating seriesThat one occurrence is skipped — the vendor is not sent anything for it — but the series continues, and the occurrence after it is scheduled as normal

In short, removing an assessment does not cancel a recurring cycle. You can confirm this by switching the dropdown to Upcoming assessment after the scheduled date has passed.

Before You Delete: Check the Row First

Deleting is permanent from your view, so it is worth a few seconds of checking.

Check whether the vendor has already answered. Look at the Completion Progress and Pending Questions columns on the row. If the vendor has answered, deleting discards all of their responses and they would have to complete the questionnaire again from scratch. In that situation, review and close the assessment out instead.

Check the dates, not just the vendor name. Because each cycle adds a row under the same vendor, it is easy to act on last cycle's assessment by mistake.

Completed assessments can be deleted too. Removing one deletes a finished assessment and its results from that vendor's history. Only do this if you genuinely intend to discard the record.

If the problem is only the deadline, do not delete. Use Edit to move the due date instead.

Which Actions Appear When

The options in the ⋮ menu depend on the status you are viewing:

FilterAvailable actions
Upcoming assessmentDelete only. The assessment has not been sent, so there is nobody to remind and nothing to edit
Ongoing assessmentSend Reminder, Edit, Delete
Completed assessmentSend Reminder, Edit, Delete

Troubleshooting

Symptom: I get a permissions error when I use Delete → Deleting requires vendor:assessment:delete. Ask your administrator to grant it.

Symptom: Send Reminder is refused → You see "The following assessment's due date is over." Reminders cannot be sent once the due date has passed. Extend the due date with Edit, then send the reminder.

Symptom: Send Reminder and Edit are missing → You are on the Upcoming assessment filter, where only Delete is available.

Symptom: I opened Edit and can only change the due date → That is by design. Everything else about an assessment is fixed at creation.

Symptom: Creating an assessment is refused with "Scheduled date cannot be in the past", "Due date cannot be in the past" or "Due date cannot be before scheduled date" → Correct the dates in the form and try again.

Symptom: A one-off assessment expired the day I sent it → No due date was chosen, so it was due the same day. Use Edit to set a later due date, then send a reminder.

Symptom: I deleted the wrong assessment → Contact support@zeron.one straight away with the vendor name and the assessment's name and dates. Do not send a fresh assessment to the vendor first, as that makes it harder for us to sort out.

Symptom: I deleted an ongoing assessment and now want the vendor to respond in this cycle → Create a new assessment for that vendor from the Assessment Process tab. Choose Never repeat if a repeating series for it already exists, so you do not start a second series.

Symptom: A new assessment appeared under Upcoming after I deleted one → The deleted assessment belonged to a repeating series, and the series continues. Contact support@zeron.one if you want the series stopped.

Symptom: The scheduling interval on a vendor is wrong → The interval cannot be edited on an existing assessment. Contact support@zeron.one with the vendor name and the cycle you want, and we can align it.
